Your certificate and register entry: proof of ownership

When you invest in a private project through OwnStakeX, you don't receive a share certificate you can frame on the wall. You receive something better: two linked records that together prove exactly what you own, when you bought it, and that it cannot be quietly given to someone else.

Every reservation that converts into a funded investment creates the same pair of documents: your ownership certificate and your entry in the investor register. Understanding both is worth five minutes of your time.

The ownership certificate

The certificate is your personal proof of participation. It is issued in your name and records the key facts of your investment:

  • the project you invested in and the asset it represents,
  • the number of units (or share equivalent) you hold,
  • the amount you paid and the date of the transaction,
  • a unique certificate number tied to your reservation.

You can download your certificate from the investor dashboard at any time. Keep a copy for your own records, alongside the tax documents we provide each year.

The investor register

If the certificate is your copy, the register is the project's memory. The investor register is the official, central record of every investor in a project: who holds what, and how much. It is the single source of truth the project's administrators use when distributions are calculated and paid.

Here is the important part: the register is append-only. New entries are added; existing entries are never edited or deleted. If your details change — for example, a name change or an update to your bank details — a new correction entry is recorded, and the history stays visible. Nothing is rewritten after the fact.

Why the two documents matter together

Your certificate proves your claim. The register is where that claim is honoured. If there were ever a discrepancy between the two, the register entry — with its full timestamped history — is the reference the project's governance uses to resolve it. In practice, they are generated from the same transaction, so they always agree.

This dual structure exists for a simple reason: no single document should be the only evidence of your investment. Your copy lives with you; the authoritative record lives with the project, under the same maker-checker controls that govern payouts. One without the other would be weaker.

What happens over the life of the project

Your register entry does not go dormant after funding closes. Each monthly distribution paid to you is recorded against it. If the project sells the underlying asset and returns capital, the final settlement is recorded there too. Years later, the register still shows the complete story: what you put in, what you received, and when.

This is the quiet infrastructure that makes shared ownership of private assets work. Nobody has to trust a spreadsheet on someone's laptop. The records are consistent, timestamped, and auditable — and your certificate lets you verify your place in them at any time.

Keeping your own records in order

A short checklist for every project you back:

  1. Download your certificate after the funding call closes.
  2. Check that the units and amount match your reservation.
  3. Confirm your bank details for distributions are current in the dashboard.
  4. Save each monthly report and tax document as they are issued.

Five minutes of filing per project, and you will always be able to answer the question every investor eventually asks: exactly what do I own?
